Distributing content to other institutions

Whoever produces the material can distribute content to other institutions in the same network or in a licensed catalog. This is the view of whoever originates the content - for what changes for whoever receives distributed content, see Content shared between institutions.

On the content’s configuration, turn on Allow distribution? to release copies of it to other institutions. Use this feature after building and publishing the content - not before.

On the content repository screen, add the content items you want to make available to a specific institution: select, among the content marked as distributable, the ones that institution should start offering in its own catalog.

When you publish a new version of content that has already been distributed, the institutions that received it do not update on their own:

  • Update all: resends the current version of the material to every existing copy. It is a heavy operation - it recopies the files of every selected content item and can take minutes; save any pending change before running it.
  • Make all public / Make all private: two separate buttons that adjust the visibility of the distributed copies all at once.
  • Removing a content item from an institution: in that institution’s content list, uncheck the item and save. The platform asks for confirmation before unsharing, and the removal runs in the background.

Each of these operations triggers background processing, and an email notifies you when it finishes. There is only ever one distribution in progress at a time per institution (copying, removing or updating) - wait for it to finish before starting the next one.

Distributing several content items to several platforms at once

The section above describes platform-by-platform distribution. When the same material needs to reach many platforms, Eduvem uses the Distribute content button, at the top of the institution list in the Control Panel: it opens a window with two lists and sends every combination in a single operation.

  1. In the institution list, click Distribute content.
  2. Under Contents, check what you want to distribute. The list brings only the content marked as distributable, grouped by the platform that originated them; check the whole group with the button next to the originating platform’s name.
  3. Under Target platforms, check who will receive it. Select all (visible) checks everything the filter is currently showing, not the entire list. To repeat the audience of content that has already been distributed, use Same targets as: (see below).
  4. Check the summary in the footer, in the format N content items x M platforms = P distributions, and click Distribute.

Each section’s search field stays fixed at the top while the list scrolls, so you can filter without going back to the start. To the right of each platform is how many content items it has already received, and the list comes sorted by that number, from highest to lowest.

A platform that is the origin of some checked content appears disabled - a platform does not receive its own material. Disabled platforms do not appear in the list.

When content has already been distributed to dozens of platforms, sending new content to that same audience used to mean re-checking every box one by one, and afterward there was no way to confirm the two audiences really matched.

The Same targets as: field, next to Select all (visible), solves this: choose a content item in the list and the platforms that already received it get checked automatically.

Two guarantees about its behavior:

  • It only checks, never unchecks - same as Select all (visible). So you can use it twice, with different content items, to add up two audiences.
  • A platform you checked by hand is never removed by a later use of the field.

If you need to remove a platform from the audience, uncheck it by hand afterward - the footer summary always reflects the current selection.

The operation does not repeat work already done, nor does it overwrite material at the target platform. On finishing, the message reports how many distributions were created and how many were skipped:

  • already distributed - that platform already has a copy of that content (or a copy of it is being created right now);
  • title/code conflict - the target platform already has its own content with the same title or the same code. Nothing is overwritten; rename one of the two if you want to distribute it anyway.

Repeating the same selection, therefore, is safe: it does not create duplicate copies.

Each submission accepts up to 500 content items, 300 platforms and 2000 combinations. Above that, reduce the selection and do it in two steps.

The copies are processed in the background, through the same mechanism as individual distribution - the same rule of one distribution in progress at a time per target platform applies, and the rest wait their turn. At the end you receive a summary email: how many copies were created, how many were skipped and how many failed.
